Building a Culture of Adoption: Why Tools Only Work When People Use Them

Buying the right tools is easy. Getting people to actually use them is the hard part.

Go into your kitchen for a sec. Open up a drawer and rummage around a bit. I’ll wait.

You’ve got tools, don’t you? So many tools. If you added up the money that is in that drawer... Ok, don’t do that.

My point is, how many of those do you use? I bet you use a spatula, maybe some measuring spoons and a fancy knife or two. The lemon squeezer, 6 different kinds of graters and mini food processor? Not so much.

Tech can be so similar. You buy the tools, and you think you’ll use them all (or your team will!), and then they sit in that drawer, unused. But still paid for.

If we’re being honest, organizations don’t struggle with technology—they struggle with adoption.

New tools, including AI, often fail not because they lack capability, but because people don’t understand how those tools fit into their daily work. A true culture of adoption is built through clarity, consistency, and confidence.

When workflows are repeatable, templates are simple, and AI is introduced as support—not pressure—Microsoft 365 becomes a trusted part of how work gets done.

You paid for the tools, so how can you get the buy-in you need from the team?

  • Clarity before complexity: Adoption improves when people know where work lives, what tool to use, and why—before adding advanced features or AI.

  • Templates create confidence: Simple, repeatable templates reduce decision fatigue and help users focus on outcomes instead of setup.

  • AI as an assistant, not a replacement: AI accelerates adoption when it supports existing workflows—summarizing, organizing, and suggesting next steps—rather than introducing entirely new processes.

  • Consistency drives trust: When teams see the same structure and patterns used over time, tools become habits instead of hurdles. Confidence increases, productivity improves and creative solutions to existing challenges start to surface.

At Excel & Flourish, we work in adoption.
