Rolling Out Copilot Without Chaos: An MSP Adoption Playbook

Change is hard, isn’t it?

It’s hard, but sometimes it’s necessary. Things evolve. People evolve. The world around you changes and you have to get on board or get left behind.

Let’s make it easy. Think about fashion.

There were things that REALLY worked for you once upon a time. Somebody complimented your outfit, and you were really rocking it. In fact, you clung to that for a hot minute. It might have been the leg warmers, neon shirts, plastic bangles 80’s style trend, but it WORKED.

If it ain’t broke, don’t fix it huh?

But eventually.... things move forward. Evolved. And that once-rocking-fashion is now.... not. It’s dated. Out of style.

But you? You’re still rocking. In different clothes. If you embrace the change

Now think about Copilot. We know it’s here, and we know it works.

But are we ready for the change?

Do we have enough context, enough confidence, enough training?

Copilot doesn’t fail because it’s too advanced. It fails because people weren’t ready for the change.

When organizations roll out Copilot like “just another tool,” resistance shows up fast — confusion, skepticism, and underuse. But when adoption is intentional, Copilot becomes a habit instead of a headache.

So what does readiness look like?

Step 1: Prepare for the transition and adoption. Even the best Copilot rollout follows a change curve:

  • Curiosity → uncertainty → resistance → experimentation → confidence

Resistance doesn’t mean Copilot is an epic fail, it means users are adjusting. MSPs who prepare leaders for this curve prevent panic and premature “this isn’t working” reactions. Reassurance from the standpoint of experience goes a long way.

Step 2: Who’s on board? Who can we look to? Copilot doesn’t scale one training session at a time. It scales through people

Let’s call those people Champions. Because they are. They believe, they seek answers, they stay committed to seeing that change all the way through.

What else do they do?

  • They model real Copilot use in daily work

  • They share prompts and wins

  • They normalize “learning out loud”

MSPs can help clients identify champions in operations, admin, finance, and leadership — not just IT. There are Champions in every department, just waiting to be called on!

Step 3: It's a Q & A issue Successful Copilot rollout answers one question clearly. Your team has this question, and Copilot has the answers: What problem is this helping me solve?

Show them how their problems become action. If you need adoption to hold (and let’s face it, you do), you’ll have to SHOW them that Copilot is tied to:

  • Faster meeting follow-ups

  • Cleaner email drafts

  • Better summaries and decision tracking

  • And so much more

Like that mighty wardrobe change that you made (you did make it, right?), it’s a journey. A piece at a time, training, review, adoption, and of course, the Champions. MSPs can lead this journey and take a team from out-of-style to crushing their goals with Copilot.

Copilot adoption isn’t a one-and-done deployment.

Don’t fault the team for their unease. They have something that worked – the ‘old way’. It might not have been perfect, but it was theirs and they made it work. Copilot is the new kid on the block and you need to be intentional with that introduction.

When rollout is done with intention, Copilot becomes a trusted resource rather than a disruptor.

And you can finally put those leg warmers and neon bracelets in a trunk and store them for.... well, I’m not really sure actually. But put them in the trunk now, ok?
